Billing software for sports coaches: compliance, simplicity, peace of mind
Invoicing software for sports coaches: compliant invoices, VAT, legal archiving, accounting export. 2026 reform included. Free ✅
Let's be honest: billing is the least glamorous subject of the coaching profession. No one got into coaching to love writing invoices. And yet, it is undoubtedly the subject that can cost you the most if you neglect it. A URSSAF inspection, a customer reimbursement request, a tax dispute – all of this is resolved (or explodes) on the basis of your invoices.
Good news: modern sports coach invoicing software automatically puts you in compliance, without you having to become an accountant. This article details what a compliant invoice must contain, the 2026 obligations to know, and how Koatcher PRO protects you by default.
The legal issues of poorly done invoicing
Before going into the technical details, let's be aware of what's at stake. Non-compliant invoicing can result in:
- Administrative fine up to €15 per missing entry per invoice, capped at 25% of the invoiced amount (article 1737 of the General Tax Code)
- URSSAF sanctions in the event of absence of invoice or suspected black billing
- Tax adjustment if VAT is not correctly applied
- Customer dispute impossible to arbitrate without proper invoice
- Refusal of reimbursement by sports-health mutual insurance companies which require compliant invoices
- Degraded image with professional customers who see you as an amateur
Most independent coaches don't know it, but they issue non-compliant invoices on a daily basis. It doesn't matter as long as nothing happens — but the day a test arrives, the bill is steep.
The 14 mandatory information on an invoice in France
An invoice issued by a sports coach working in France must contain specific information defined by the Commercial Code (articles L441-9, R441-4) and the General Tax Code (article 242 nonies A). Here is the exhaustive list:
Identifications
- 1. Full name of coach or company name
- 2. Address of head office or professional domicile
- 3. 14-digit SIRET number
- 4. APE/NAF code (generally 8551Z or 9329Z for sports coaches)
- 5. Legal form (individual company, EURL, SASU, etc.)
- 6. Customer name and address
Document credits
- 7. Mention “Invoice” prominently
- 8. Single invoice number (chronological sequence without break)
- 9. Issuance date of the invoice
- 10. Date of service or period concerned
Financial information
- 11. Precise description of the service (nature, duration, location if relevant)
- 12. Amount excluding tax, VAT, tax included detailed (or specific mention if exemption)
- 13. Payment conditions and late payment penalty rates
- 14. Mention of the discount or its absence
To which are added the specific mentions according to your status:
If you are VAT-free (self-employed, micro-enterprise
Mandatory mention: "VAT not applicable, art. 293 B of the CGI". Without this mention, the tax authorities may consider that you should have collected VAT – with an adjustment as a result.
If you are subject to VAT
Mention of your intra-community VAT number (FR + 11 digits) and the applicable VAT rate (generally 20% for coaching).
If you are affiliated with a CIPAV or other fund
Mention of your affiliation for the covered services (rarely obligatory but recommended).
Do you see the problem? Doing all this manually for each invoice is not only time-consuming, but above all error-prone. A single forgotten mention = legally non-compliant invoice.
Electronic invoicing reform 2026-2027
Crucial subject that few coaches are aware of: France is gradually imposing compulsory electronic invoicing for all companies, including the self-employed. The official calendar (subject to government adjustments):
- September 2026 — Mandatory receipt in electronic format for all businesses (including self-employed)
- September 2026 — Mandatory issuance for large companies and ETIs
- September 2027 — Mandatory issue for SMEs and VSEs (your case if you are a coach)
Concretely, what does that change?
From September 2027, you will no longer be able to send an invoice by email with a PDF attached. Invoices must pass through a partner dematerialization platform (PDP) approved by the State, in a structured format (Factur-X, UBL, CII).
This means that coaches who continue to make their invoices in Word or Excel will have to migrate to certified software before this deadline. It is better to anticipate than endure.
How Koatcher PRO is preparing
Koatcher PRO follows regulations in real time and will integrate the mandatory Factur-X formats well in advance of the deadline. Coaches already on the platform will automatically benefit from the update, without action on their part. No need to change tools in a hurry in 2027.
Automatic VAT management according to your status
VAT is the classic trap of the independent coach. Depending on your status and your turnover, you are subject to different rules — and these thresholds change regularly.
Self-employed VAT-free
If you are a micro-enterprise and your turnover remains below the franchise threshold (€37,500 excluding VAT/year for services in 2026), you do not charge VAT. Your invoices are marked "VAT not applicable, art. 293 B of the CGI".
Threshold exceeded during the year
Be careful of the increased threshold (€41,250 in 2026). If you exceed it, you become subject to VAT from the first day of the month of excess, with possible retroactivity. Koatcher PRO monitors your cumulative turnover and alerts you before it is exceeded.
VAT collected (real or simplified regime)
Beyond the threshold or by voluntary option, you collect VAT at 20% on your sports coaching services. Koatcher PRO:
- Automatically applies VAT to each invoice
- Calculates excluding tax, VAT and tax included
- Generates your monthly summary for the declaration
- Detects exempt services (official sports competitions, certain public contracts)
Special case of group lessons
Group sports lessons given to more than 5 people simultaneously can benefit from a VAT exemption under certain conditions (article 261 of the CGI). It's complex: Koatcher PRO allows you to configure exceptions by type of service.
Invoice numbering: the inviolable rule
Here is an absolute legal rule, which many coaches ignore: invoice numbers must form a continuous chronological sequence, without breaks or duplicates. Skipping a number = presumption of invoice removed = adjustment.
Supported numbering formats
- Simple numbering: 2026-001, 2026-002, 2026-003...
- Numbering by series: COACH-2026-001 (useful if several activities)
- Monthly numbering: 202611-001 (November 2026, invoice 1)
Koatcher PRO automatically generates the correct number for each invoice, guarantees continuity, and prevents any modification or deletion of an invoice once issued (in accordance with the VAT anti-fraud law since 2018).
Legal archiving: 10 years, not one less
Your invoices must be kept 10 years from the end of the accounting year concerned (article L123-22 of the Commercial Code). This goes for both the sender (you) and the recipient.
The pitfalls of manual archiving
- Hard drive failing → lost invoices
- Email deleted → proof of sending lost
- Changing computer → incomplete archive
- Accidental modification of a PDF → invalidated invoice
Koatcher PRO automatic legal archiving
- Each invoice issued is stored on a secure European server
- No modification possible after issue (integrity guaranteed)
- Daily redundant backups
- Access and download possible for a minimum of 10 years
- Compliance with the VAT anti-fraud law (LFR 2015-1786)
If you ever stop Koatcher PRO, you can export your entire invoices with one click. Your archives follow you, they are not held hostage.
Automatic generation: from payment to invoice in 0 seconds
The beauty of Koatcher PRO: invoicing is not a separate module. It is automatically linked to payment. Here is the full flow:
- The client books a session via your reservation page
- He pays online by credit card (via Stripe)
- Koatcher PRO generates the compliant invoice instantly
- The PDF of the invoice is sent by email to the customer
- A copy is archived on your account and in your customer file
- The transaction appears in your accounting journal
Zero manual action. Zero forgetting. Zero late invoices. On 100 transactions per month, you save 4 to 6 hours of input compared to Word/Excel management.
Special cases to know how to manage
Beyond the standard invoice, your activity will generate specific situations that software must be able to handle.
Deposit invoice
For packs sold or courses paid in advance, you must issue a deposit invoice at the time of collection, then a final invoice at the end of the service. Koatcher PRO handles this logic in two steps automatically.
Credit and refund
If you reimburse a customer (cancellation, disagreement, commercial gesture), you must issue a credit note, not modify the initial invoice. The credit note is a document in its own right, numbered in a continuous series, which is deducted from the initial invoice.
Credit note for mutual insurance
Some mutual insurance companies reimburse sports and health insurance. Your customers will ask you for detailed invoices with specific mention. Koatcher PRO includes a “mutual invoice” option which details the precise nature of the service (physical preparation, post-injury fitness, etc.).
B2B invoicing with companies
If you coach businesses (group sessions, corporate sport, employee well-being), invoices must mention the client's intra-community VAT number, the reference purchase order, and often negotiated payment terms (payment within 30 or 60 days).
Travel costs re-invoiced
If you coach from home and charge travel costs, these costs must appear as a separate line on the invoice, with their own VAT regime if you are subject to it.
Accounting export: the direct link with your accountant
Whether you do your accounting yourself or entrust it to an accountant, your invoicing data must be exportable in standard formats.
Koatcher PRO export formats
- PDF: for paper archives or sending by email
- CSV / Excel: for your analyzes or manual import
- FEC (Accounting Entries File): mandatory format for the tax administration in the event of an audit
- Accounting API: direct connection with the main accounting software (Cegid, Sage, Quadratus)
At the end of the month, you send all your invoices to your accountant in one click. No more Excel workbooks sent by email, no more “did you receive my invoice from Mrs. Martin?” Everything is centralized and exportable.
Visual customization of invoices
An invoice is also a point of contact with your customer. A lousy invoice projects an image of amateurism. Neat invoice reinforces your professional image.
What is customizable in Koatcher PRO
- Your logo in the header
- Your brand colors
- Font and typographic style
- Personalized thank you note
- General conditions at the bottom of the page
- Payment details (RIB, Stripe link)
The result: an invoice that reflects your studio, your brand, your level. Your B2B customers (businesses) will be particularly sensitive to this detail.
How much does non-compliance cost? Calculation of a real case
To make the issue concrete, let's take an independent coach who generates €60,000 in annual turnover with 400 invoices per year. Let's imagine a URSSAF inspection which detects 3 breaches:
- Interrupted dialing (5 numbers skipped over the year) → fine
- VAT excess notice forgotten on 80 invoices → 80 × €15 = €1,200 fines
- Incomplete archiving (impossible to present 30 old invoices) → presumption of concealment, possible redress
Total potential: between €2,000 and €8,000 depending on the severity of the controller, not counting the time spent regularizing and the associated stress.
To compare it to investing in Koatcher PRO: even at the premium plan, the software costs a fraction of that while removing those risks by default.
Get started: bring your billing into compliance in 30 minutes
If you are not yet using compliant software, here is the minimum action plan:
- Create your Koatcher PRO account (free, without credit card)
- Enter your legal information (SIRET, APE code, VAT status)
- Configure your numbering (starting from your last existing number)
- Personalize the visual (logo, colors)
- Issue your next invoice from Koatcher PRO
- For old invoices: keep your existing archives, and gradually switch over
In 30 minutes, you are in compliance for all your future invoices. The regularization of the history can be done gradually.
Links with other modules
Koatcher PRO billing does not work in silos. It integrates natively with:
- Payment module — each payment generates an invoice automatically
- Customer file — all customer invoices are archived on their file
- Quote — conversion of accepted quote into invoice in one click
- Accounting — automated monthly FEC export
- Analytics — Turnover and margin calculated in real time
Conclusion: professional billing, peaceful sleep
The compliance of your billing is not negotiable. It's not a matter of "I like or don't like paperwork" — it's a legal obligation that can cost you money and time if you don't.
The good news: with well-designed sports coach invoicing software, this obligation becomes invisible. Koatcher PRO generates your compliant invoices, manages VAT, automatically archives, exports to your accountant. You no longer have to think about it, and you are protected in the event of an inspection.
Important bonus: the 2026-2027 electronic invoicing reform makes investment in compliant software even more relevant. It is better to equip yourself now and grow with the tool than to migrate in a hurry as the deadline approaches.

Frequently asked questions
Does a self-employed sports coach really have to issue invoices?
Yes, without exception. Any professional working in a commercial capacity must issue an invoice for each service, regardless of their status (self-employed included). The only case where the invoice can be replaced by a ticket: services paid in cash to an individual for an amount less than €25 — which is rarely the case in sports coaching.
What is the deadline for issuing an invoice after a service?
The invoice must be issued at the time of the service, or at the latest at the end of the month of the service for a cash payment. For a service on credit, the invoice must be issued under the conditions defined in the contract. Koatcher PRO generates instantly, you are always on target.
What happens if I exceed the VAT threshold during the year?
If your turnover exceeds the increased franchise threshold (€41,250 for services in 2026), you become subject to VAT from the first day of the month of excess. You must inform your SIE and start charging VAT. Koatcher PRO monitors your cumulative turnover and alerts you before exceeding it to anticipate the transition.
Can I modify an invoice after sending it?
No, and it is a strict legal rule (VAT anti-fraud law 2015-1786). Once issued, an invoice cannot be modified. If you have made a mistake, you must issue a credit note (negative invoice) which cancels the previous one, then issue a new correct invoice. Koatcher PRO technically prevents any post-issuance modifications to ensure your compliance.
How long should I keep my invoices?
10 years from the end of the accounting year. For an invoice issued in May 2026, you must keep it until December 2036 at least. Koatcher PRO ensures automatic legal archiving on secure European servers, without action on your part.
Will electronic invoicing really be mandatory in 2027?
Yes, the emission obligation for VSEs and SMEs (i.e. independent sports coaches) is set for September 2027 according to the current official calendar. This means that invoices must pass through an approved dematerialization platform (PDP), in Factur-X format or equivalent. Koatcher PRO will integrate these formats before the deadline.
What is the difference between an invoice and a receipt?
A receipt (or receipt) is a simplified document that proves a payment, but does not have the legal value of an invoice for the customer's tax deductions. An invoice contains all the mandatory information allowing the customer to record it, deduct it or present it to their mutual insurance company. For coaching, always issue a real invoice, not a simple receipt.
Can I invoice in multiple languages?
Yes. Koatcher PRO allows you to generate invoices in French, English, Spanish, German and Italian. Useful if you coach international or expat clients. Please note: French compliance applies regardless of the language, so the mandatory information must always be present.
Does the software manage invoices for businesses (B2B)?
Yes. For B2B customers, Koatcher PRO automatically adds specific information: the customer's intra-community VAT number, reference purchase order if applicable, payment terms within 30 or 60 days. You can also manage withholding taxes for public contracts.
Is invoicing software really free?
Yes. Billing is included in the free Koatcher PRO start, without a credit card. You generate your first compliant invoices, automatically archive, export for your accountant, free of charge. Paid plans unlock advanced options (B2B, multi-currency, direct accountant integration) when your business grows.
